Email marketing tools, compared on what actually differs

Every serious email platform sends email competently, and their feature lists have largely converged. What separates them is narrower and harder to see from a comparison table: how deep the automation really goes, how much setup time it demands before it earns its keep, what it integrates with natively, and how sharply the price climbs as your list grows.

Why feature tables mislead

Pick any two tools in this category and their feature lists will look almost identical. Both do automation, segmentation, landing pages, A/B testing and reporting. The table says they are equivalent. In practice they are not remotely equivalent, because a feature table records whether something exists, not how far it goes or what it costs to use.

Two examples. Every tool here lists automation, but one of them handles conditional branching, split tests inside a workflow and behavioural triggers, while another sends a straight sequence and stops. Both get a tick. Similarly, several list a free plan — but the free plans range from 500 subscribers to 10,000, and some exclude automation entirely, which is often the reason you wanted the tool.

This is why our quiz scores tools on graded capability rather than presence or absence, and why the results tell you what each option is weak at as well as what it is good at.

The four things that actually decide it

Setup cost in time. The most capable tool in this category rewards a weekend of configuration with automation nothing else can match, and punishes anyone without that weekend by sitting half-built while their list goes uncontacted. An adequate tool you actually finish setting up beats an excellent tool you don't.

Pricing curve, not entry price. Everything here prices per subscriber or contact, and the curves diverge sharply. The cheapest option at 500 subscribers can be among the most expensive at 25,000. Compare at the size you expect to be in a year. Watch for feature gating too: an entry plan that excludes automation is not really a cheaper version of the same product.

What you already pay for. If your platform already bundles email, a second tool only earns its place by being clearly better at something you actually need. If you have hosting but no real email, native integration is what saves you hours every week.

How you sell. Launch selling and evergreen selling ask nearly opposite things of a tool. Launches want reliable delivery in a compressed window, fast segmentation and quick rebuilds. Evergreen wants deep conditional automation you build once, plus reporting good enough to find where people stall. A tool excellent at one is usually only adequate at the other.

Why the recommendation depends on who you are

There is no best email marketing tool, which is why we don't publish a single ranked list. The same product can be the obvious answer for one reader and a clear mistake for another with a different list size, budget and selling model.
